How to qualify export distributors: check product and channel fit.
Turn a list of overseas companies into a reasoned distributor shortlist. Check the channel role, product range and territory, then prepare the questions that public information cannot answer. Includes a free qualification workbook.
To qualify export distributors, define your product range and the channel you need. Check each candidate’s stated role, catalogue, customers and territory. Record the evidence and date. Ask the responsible person about technical fit, supplier selection, support and commercial conditions. A related catalogue category is a reason to investigate, not proof of demand or distribution capacity.
Start with the range you can actually supply.
“Find buyers abroad” can mix unrelated companies and sales routes. Define one product family, one target market and the customers your channel should reach. Gather your own specification sheet before assessing a candidate’s catalogue.
- Product: the specific range, applications and technical documentation you can provide.
- Market: one country or territory you can support.
- Channel: a distributor serving the intended business customer, rather than any company mentioning the product.
- Your limits: actual supply, support and commercial conditions to discuss. Do not invent market-wide order minimums.
Our fictional example is a Turkish manufacturer of mechanical power-transmission couplings researching Romanian distributors serving industrial maintenance suppliers. It illustrates a method. It does not establish product approval, market demand or a ready export route.
Separate the distributor from the other companies in the chain.
| Role | Question to investigate | What the label does not establish |
|---|---|---|
| Distributor | Does the company sell a product range to customers in the intended channel? | Stock, territory, technical support or willingness to add your range. |
| Importer | Does the company bring products into the market, and for whom? | An onward distribution network or a need for your product. |
| Agent / representative | Does the company introduce or represent suppliers, and on what basis? | Purchase of stock or the same responsibilities as a distributor. |
| End user | Does the company buy the component for its own operations? | Resale to other businesses. It may fit a separate direct-sales brief. |
| Unknown | What activity and commercial role can the company confirm? | A verified channel role. Hold the candidate until this is clear. |
These are research labels, not conclusions about the candidate’s contract. The International Trade Administration’s representative-selection guidance highlights product mix, territory and service capability. Apply the questions to your product and market.
Build a shortlist with evidence you can reopen.
Research the intended channel.
Use relevant business introductions, trade relationships or targeted company research. Keep the product, buyer type and territory in your brief.
Inspect the candidate’s range.
Read its current company description, catalogue and service information. Save the exact page or document and review date.
State the possible fit.
Explain why a category may be relevant to your range. A power-transmission category is not proof that a specific coupling meets its requirements.
Keep missing information visible.
Record unknown customer types, purchasing responsibilities, stock, support and supplier-selection process. Prepare the next question instead of filling the gaps with guesses.
For each candidate, distinguish its own statement from information you independently verified. Keep the source date when a catalogue changes. If the role or product range remains unclear, use Hold and name the information needed to proceed.
Turn each fit question into evidence and a direct check.
| Check | Public information to record | Question for the candidate |
|---|---|---|
| Product range | Relevant catalogue family and specifications actually shown. | Which specifications would you need to assess our particular series? |
| Customer channel | Named customer types or applications in the company’s own description. | Which customer groups would this range serve? |
| Territory | Stated coverage, office or service locations. | Where could you sell and support this product? |
| Stock and support | Explicit statements about warehousing, service or technical support. | What stock and technical support would this range require? |
| Existing suppliers | Related brands or ranges in the catalogue. | Are there supplier restrictions or overlapping commitments to discuss? |
| Buying responsibility | Relevant role if explicitly available. | Who evaluates a new range, and how does that review work? |
| Commercial conditions | Your own terms prepared for discussion. | What quantities, delivery arrangements and payment conditions would need agreement? |
ITA’s evaluation guide provides questions for investigating prospective representatives. It is a US export resource. Its questions can inform your review; its services are not represented here as free services available to every exporter.
Company identity, technical requirements and financial or contractual review are separate work when needed. Keep their outcome in the record. Anivo’s firm research does not establish product certification, creditworthiness or an agreed distribution relationship.
Make a decision that explains the next action.
All candidate names and facts below are fictional. No company was contacted, and no technical fit or order is claimed.
| Candidate | Observation and unknown | Decision and next action |
|---|---|---|
| Dacia Motion Supplies | The example catalogue contains industrial transmission components and describes maintenance suppliers. Coupling series, buying role and supplier review are unknown. | Continue: ask who assesses a new coupling range and which technical documents they need. |
| Carpat Industrial Trade | The example description says industrial supply, but the catalogue and customer types are unclear. | Hold: request the product range and channel information before preparing a commercial offer. |
| HobbyDrive Shop | The example range focuses on hobby vehicles and consumer replacement parts. | Exclude from this brief: it does not match the industrial-maintenance channel. |
Continue authorises your next research step, not a technical approval or an order forecast. A candidate can move to Hold when a later check contradicts the original fit. Record the change and its reason.
Keep the product brief beside your candidate decisions.
Download an Excel workbook with your offer brief, blank candidate columns and three separately labelled fictional examples. No signup is required.
- Complete Offer with your product range, market, intended channel and real supply limits.
- Use one column per company in Candidates. Copy a candidate column to add another firm.
- Record role, catalogue, customer type, territory, evidence URL and review date.
- Keep stock, support, supplier conflicts and commercial conditions as unknown until checked.
- Choose Continue, Hold or Exclude, explain why, and record the next question and any actual response.
The workbook has no automatic qualification score. It is a standalone working record, not an Anivo import format, shipment database or contract assessment.
Check the product-review process before sending a proposal.
Market brief
“We manufacture mechanical power-transmission couplings. Research distributors in Romania serving industrial maintenance suppliers. Check the product family and channel role. Keep technical compatibility and supplier demand unconfirmed.”
First message draft
I saw industrial power-transmission components in your catalogue. We manufacture [specific coupling range]. Are you the right person to assess whether this range could fit your catalogue?
Replace the product placeholder with your actual range. Verify the catalogue observation before contact and introduce your business. This example has not been sent.
If the person is responsible, ask which specifications they need and how they evaluate new suppliers. Record their response and date. A request for a catalogue is a conversation step; it is not an order or a confirmed distributor appointment.
Prepare contact and sending requirements for the recipient’s market as part of your outreach review. Keep technical and commercial follow-up relevant to the reply instead of sending the same proposal to every company.
Choose the tools for the research you actually repeat.
| Situation | Suitable method | Reason |
|---|---|---|
| A few known partners and an early product-market question | Direct conversations and this workbook. | You need to clarify fit before expanding research. |
| Existing candidates with ongoing negotiations | Your current CRM and technical review process. | Continuity matters more than discovering more names. |
| Recurring research for a defined product and channel | Anivo company research, CRM notes and draft preparation. | Keep the selection reason connected to the next task and message. |
Write the export brief.
Describe the product, buyer channel, region and exclusions. Review and approve Anivo’s research plan before starting.
Check the candidate.
Review company information. Verify the current catalogue and channel role yourself. Keep missing specifications and responsibilities as questions.
Keep the record.
Move relevant firms into CRM. Add notes about observed fit, unknowns and your decision. Add a task for the next check.
Prepare a specific draft.
Use the verified product observation to ask about range evaluation. Review the recipient and wording before sending.
Anivo works on Windows for one user and one local workspace. It connects research, qualification, CRM and outreach preparation. Technical certification, live customs data and shared team records are not implied. See Anivo for industrial exporters and the software evaluation guide.
Questions about export distributor qualification
Answers for manufacturers preparing a product-specific channel shortlist.
How do I find relevant distributor candidates?
Define the product, customer channel and target market first. Use relevant introductions, trade relationships or targeted company research. Verify each firm’s stated role and range before adding it to your shortlist.
Is every importer also a distributor?
No. A company importing a product does not necessarily resell it through your intended channel. Ask about its customers, activity and commercial role.
Does a matching catalogue category prove technical compatibility?
No. Record the category as a possible fit. Compare the actual specifications and ask what the candidate needs to assess your particular product series.
What should I do when the website gives too little information?
Use Hold and write the missing fact, such as product range or customer channel. Ask for that information before preparing a detailed commercial offer.
How do I check whether a candidate can support the product?
Record explicit information about territory, stock and support. Ask how the candidate would handle your specific range. Verify the answer through the review appropriate to the relationship.
Does a catalogue request mean the firm is ready to buy?
No. It means someone has requested information. Confirm responsibilities, technical requirements and the evaluation process before treating it as a defined opportunity.
Can I use the workbook without Anivo?
Yes. Download it without an account. The blank candidate columns and fictional examples work independently of Anivo and do not calculate an automatic buying score.
Does Anivo validate contracts or guarantee an export order?
No. Anivo supports company research, qualification, CRM records and draft preparation. You verify technical and commercial fit and complete the separate checks needed for the relationship.
