Anivo user guide: start your first research and follow the conversation.

Start your first research, add suitable firms to the CRM and follow the conversation. This guide covers sign-in, research planning, contact unlocking, imports, email connection and help in ten practical steps.

YOUR FIRST WORKFLOW

Sign in with your account in the Windows application. In Research, explain what you sell, which businesses to find and where. Review and approve the plan, assess the results and continue with suitable prospects. Unlock contact fields and add records to the CRM. Connect your mailbox, review messages and track incoming replies. Research, AI and connected email operations require internet access.

Sign in and get to know the workspace.

Open Anivo on your Windows computer and sign in with your own account. Choose English or Turkish in Settings. The sample workspace lets you explore research results and CRM screens with example data. Start real company research in your own workspace.

The getting-started card on Overview introduces research, unlocking a prospect’s contact fields and preparing outreach. If you dismissed the card, you can reopen it from Settings.

This guide is for one user and one local workspace. If shared team records and user permissions are essential, assess alternatives in the software selection guide. Read how Anivo works for the overall product model.

Tell the Agent your offer, company type and region.

Open Research. Describe your product or service, target company type and research region. Add conditions that matter to your work. The Agent may ask you to clarify a missing detail.

This is an example research request. It does not establish that every manufacturer needs your product. Asking for contact information does not guarantee it will be found for every firm. Use the ideal customer profile template to narrow the target.

Check the plan, request changes, then approve it.

  1. Read the target in the plan.

    Compare company types, regions and research scope with your request. Clarify an unclear condition before starting.

  2. Request changes in the same conversation.

    For example: “Research only the first region. Exclude packaging resellers and focus on manufacturers.” Review the updated plan.

  3. Approve and open the results.

    When the plan matches your target, approve it to start research. Follow progress and use “Open results” to inspect the prospects found.

Approval means you chose the scope. It does not establish that every result will automatically and completely meet every condition. Company review comes next.

Narrow the list and check company fit.

  • Review company names, locations, websites and available contact fields in the results.
  • Use filters for your needs. Open company details to inspect activity and any opportunity notes.
  • Use fit and data-quality indicators to prioritise review. They are not purchase intent.
  • Continue with suitable firms. Keep unclear conditions as questions; do not pursue scope you cannot deliver.

Research does not always return the same number of results or the same information for every firm. Assess the activity and its relationship to your offer yourself. A high score does not establish that the firm will become your customer.

Open the contact fields for your selected prospect.

Check which contact fields the prospect has. Use the unlock action for locked fields. Review the credit information shown for that action.

No contact field to unlock
A prospect without contact fields does not use unlock credits. This is separate from credit use for research or other AI operations.
Previously unlocked prospect
You do not pay another unlock fee to reopen the same prospect’s contact information.
Check your balance
Use Plan and Credits in Settings to review the available balance and credit activity.

Check that unlocked information is current before using it. Read the subscription and credit terms for Anivo’s usage conditions.

Add suitable firms to the CRM. Import your existing list.

Select prospects you want to follow and use “Add to CRM”. Board columns represent sales stages. Move a company card as the conversation progresses. Add notes, review past activity and set the next task.

Use Calendar to plan calls and meetings. Use List to review and filter records together. For example, record the material and quantity discussed, then add preparing a quote as a task.

  1. Add your file or table.

    Open import in the CRM. Upload a CSV or Excel file, or paste table data.

  2. Map columns to CRM fields.

    Check that each file heading goes to the right field. Do not confuse company name with person name or website with email.

  3. Review the preview and confirm.

    Inspect ready, invalid or duplicate rows. Check how existing records will be handled, then confirm the import.

Headings are examples. Check your own fields and preview. Do not fill missing information with guesses.

Connect email and test it with an address you control.

  1. Open account connection.

    Use the add-email-account option in Inbox or Settings. Select the account you intend to send from.

  2. Complete the connection steps.

    Required information and connection methods depend on the account type. Follow the on-screen steps and check the account status when finished.

  3. Send a test to your own address.

    Before contacting a firm, send a test message to an address you control. Check the sending status and recipient mailbox.

The connected account supports sending and incoming reply synchronisation. If connection fails, inspect account status and the explanation on screen. Use Anivo support when you need help.

Review messages and confirm the sending preferences.

  1. Choose recipients and the purpose.

    Select the prospects and open email preparation. Describe your offer, the message purpose and the points to emphasise.

  2. Prepare the message.

    Write it yourself or ask AI for a draft using company information. Use a clear offer and a question the recipient can answer.

  3. Review every draft.

    Verify company details, the reason for contact and offer scope. Edit incorrect or unsupported statements.

  4. Start sending after the final checks.

    Check recipients, sender account, messages and sending settings. Assess applicable contact conditions, then start sending or queue the messages.

An AI operation may send company information and selected content to an online service. Review the data model in how Anivo works. You do not need to send to real firms to assess drafts in a first trial.

Read the reply and add the next task to the company record.

Review conversations in Inbox. Read a reply matched to a company record alongside the earlier messages. Use the firm’s response and conversation history when preparing a new message.

  • Add the need and scope you learned to the CRM note.
  • Update the sales stage to reflect the actual conversation.
  • Plan the next call, meeting or quote task.
  • Do not apply the same follow-up to everyone without considering the reply.

For example, when a firm shares packaging quantities, record them and set a scope review as the next task. If information has not arrived, keep it marked as unknown. An email reply alone is not a sale.

Reopen help and export the output you need.

Open the question-mark menu at the top of the screen for that page’s guides or other guides. In Settings → App, use the help options to manage automatic tips, restart guides or reopen the getting-started card.

Formats depend on the screen you are using. A file export is not a live integration with another CRM.

Questions about using Anivo

Where do I start my first research in Anivo?

Start in Research or from the getting-started card on Overview. Tell the Agent your offer, target company type and region. Review and approve the plan to start research.

How should I use the sample workspace?

Explore it to learn the product and CRM screens through example data. Run real company research and work with your own records in your own workspace.

Can I change the research plan?

Request changes in the same conversation before approving it. State company type, region and exclusions clearly. Read the updated plan again.

Does a prospect without contact fields use credits?

A prospect without contact fields does not use unlock credits. Research and other AI operations have their own credit conditions. Check the action information on screen.

Do I pay again for a previously unlocked prospect?

You do not pay another unlock fee for the same prospect’s contact information. Review your balance and credit activity in Plan and Credits within Settings.

Can I import my CSV or Excel list into the CRM?

Yes. Upload a file or paste table data. Map columns to CRM fields, check the preview and duplicate records, then confirm the import.

Do I need a connected email account for research?

A connected mailbox is not required to write a research request. Connect the relevant account separately for sending and incoming reply synchronisation.

Should I send an AI draft immediately?

First review company information, your offer and the wording. Confirm recipients, sender account and sending settings. Testing the initial workflow does not require sending to a real firm.

Can I reopen the getting-started card?

Use the help options in Settings → App to reopen it. In the same area, manage automatic guide display or restart guides.

Which export formats are available?

Company data provides Excel export options; CRM analytics provides XLSX and PDF. Available formats depend on the relevant screen.
