Choose B2B prospecting software by testing the work you need done.
Finding businesses, choosing relevant prospects and following up are different jobs. Use this guide to choose the right kind of software and see what works in a practical trial. Includes an evaluation checklist, a fictional example and an Anivo workflow.
B2B prospecting software helps you research potential businesses, assess their fit and prepare for a first conversation. Start with the missing job: company research, contact information, message preparation or follow-up. Run a small trial with the same target. Check company fit, whether important information can be verified, usage limits and whether you can record the next step. A company list does not guarantee sales.
Start with the prospecting job you need to complete.
B2B means businesses selling to other businesses. Prospecting software supports research and preparation for those sales. Some tools find company information. Others focus on messages, tasks and conversation records. Do not assume they all do the same work.
A label manufacturer might need to find new food producers. Someone else at that business might need to record conversations with firms they already know. The first job is new company research. The second is customer follow-up.
Complete this sentence first: “Each week, when I do ___, I am missing ___ information or step.” Match the features you will use to that problem. A large list alone is not a reason to choose a tool.
SAP’s B2B prospecting guide connects tool evaluation to the work and outcomes required. Our checklist turns that approach into a practical decision method. It is not a product ranking.
Separate company research, CRM and sending tools.
| Category | Main job | Question to test |
|---|---|---|
| Company research software | Research businesses and activities that may fit your target. | Why might this company fit my offer? |
| Contact information tool | Find and check contact details for a particular company or person. | When was this information checked, and how are missing details shown? |
| CRM / customer tracking software | Organise company records, conversations, stages and next steps. | Can I see what to do with this company a week later? |
| Email and campaign tool | Manage sending and follow-up steps for prepared messages. | Can I review the draft and control sending and the next message? |
| Connected research and outreach workspace | Connect company research, qualification, records and message preparation. | Does what I learned in research stay with the message and follow-up record? |
Salesforce’s CRM explanation centres on managing relationships with customers and prospects. Having a CRM does not establish that a tool can discover new businesses in your market. Test record keeping and company discovery separately.
A connected tool does not replace every system. If advertising management, shared team permissions or a specific enterprise integration is essential, verify it separately. A CSV export is not a live, two-way CRM integration.
Assess the workload before the number of companies.
| Your situation | Suitable starting point | Reason to consider a change |
|---|---|---|
| Your offer and target company type are unclear. | A profile document and buyer conversations. | You have defined the problem and offer, and need regular research. |
| You know a few firms and can keep records organised. | Manual research and a spreadsheet. | Repeated information gathering or missed next steps becomes a recurring problem. |
| You research new firms weekly and carry the same information into messages. | Software connecting research with outreach preparation. | You can review firms, keep records and prepare drafts in the same trial. |
| Several people need shared records, roles and approvals. | A CRM or enterprise system meeting those team needs. | Sharing, permissions and required connections actually work. |
Use the ideal customer profile guide to clarify your target. Start with the customer acquisition plan to choose a channel. Selecting software does not replace either decision.
Look for work you can demonstrate, not feature names.
Record each check as demonstrated, missing or needs another test. This is a decision method. If an essential requirement is missing, a long list of other features does not resolve it.
| Check | How to test it | Evidence to record |
|---|---|---|
| Company fit | Research one sector, offer and region. | Activity description and the reason for your fit decision. |
| Verifiable information | Recheck important details for a selected company. | Information checked, source, date and remaining unknowns. |
| Reason to investigate a need | Inspect the observation behind an opportunity note. | Observation, your interpretation and the question to ask. |
| User control | Check that you can change the plan and draft before approving them. | The target or draft you corrected and its final version. |
| Follow-up record | Add a note and next task to a company, then reopen it. | The note, stage and task remaining with the record. |
| Export | Export your research record and inspect the contents. | The fields you need appearing in the file. |
| Usage and fees | Read the rules for research, unlocking details, drafting and sending. | Which action uses which allowance, including repeated actions. |
| Working environment | Test the intended device, user setup and required connections. | Platform, individual or shared workspace conditions and connection needs. |
Test one offer with a group of firms you can review.
Write the job for the trial.
Example: a printed product label manufacturer researching food producers in two regions it can serve. This is a market hypothesis. It does not establish that those firms want a new label supplier.
Set the essential conditions.
The example requires food manufacturing, a serviceable location and work within production capacity. Label material, print quantity and timing will be learned in conversation.
Choose a manageable group.
You could work through five firms. This limits the work to something you can review. It is not a statistically validated sample or an ideal list size.
Check each company and record a decision.
Verify its activity. Explain your continue, hold or exclude decision. Turn missing information into a research or conversation question instead of filling it with assumptions.
Prepare a record and a message.
Add a note and next task for a suitable firm. Draft a message using a verified observation. Testing the workflow does not require sending a real message.
Reopen the work and assess it.
Do the record, task and draft stay connected? Is the exported file usable? Record any missing essential requirement and make your selection decision.
When comparing methods, use the same offer, profile and expected output. Do not compare a few carefully selected examples in one with an unchecked large list in another. Record setup time separately from routine work.
A useful list helps you make decisions with reasons.
All companies and records below are fictional. They are not Anivo results, an accuracy study or a customer case.
| Company and information | Decision | Next check |
|---|---|---|
| New Harvest Foods: produces packaged food in a serviceable region and announced a new product variety. | Continue research | How are labels supplied? Do material, print quantity and project timing fit our capacity? |
| Summit Trading: has a local address; whether it manufactures or only distributes is unclear. | Hold | Verify its activity. Do not infer manufacturing from the company name. |
| City Table: offers on-site food service only; it does not produce packaged products in this example. | Exclude for this offer | It does not fit the example supplier’s packaged-food label offer. A different offer could lead to a different decision. |
Market brief
“I want to research packaged food manufacturers in the two regions we serve. We supply printed product labels. Help me understand their activity and product information I can review. I will verify label material, print quantity and project timing in conversation.”
First message draft
Hello, I noticed New Harvest Foods’ announcement of a new product variety. We work on printed product labels for food manufacturers. Are you handling labels for these products with your current supplier? If a new project is planned, we could assess the scope based on material and print quantity.
The company and announcement are fictional. A new product does not prove a label need or interest in changing suppliers. Adapt the draft to a real observation and check the applicable contact conditions before sending.
The trial output is not a customer ready to buy. It is company information you can check, a decision with reasons, a question to verify and a recorded next step. Evaluate the software against that output.
Finding an address does not itself grant permission to use it for marketing. Check the rules for your market before sending. For example, the UK ICO’s B2B guidance distinguishes recipient types and personal-data requirements. The customer acquisition guide includes official sources for Turkey.
Read the price, usage allowance and working time together.
- Fee model: Monthly subscription, action credits or a company unlock allowance? Similar labels may cover different usage.
- Action definition: Check company research, contact unlocking, message drafting and sending separately. Read which action an “unlimited” description covers.
- Additional tools: Does the workflow require an email account or other software? Include existing tool expenses.
- Human work: Record time spent checking firms, editing drafts and holding conversations. Automation does not mean zero work.
- Exit conditions: Check how to retrieve your own records, cancellation conditions and workspace access in the relevant documents.
Actions in Anivo use credits. Every plan provides the same product for one user and one local workspace. Plans differ in credits and support priority. Check current conditions in pricing and the subscription and credit terms. A plan name does not imply team sharing.
Try Anivo on one job, from research to a first draft.
Anivo is a B2B research and outreach workspace for Windows. Describe your offer and approve the research plan. Review company information and opportunity notes, then continue with suitable records in the CRM and message preparation.
Explain your target to the Agent.
Describe what you sell, the company type and the region. Adapt the example research brief to your own production and service conditions.
Review and approve the plan.
Check that the research scope reflects your target. Do not assume every result will automatically and completely satisfy every condition.
Review the firm and move a suitable record into the CRM.
Assess company information, scores and opportunity notes. A score is not purchase intent. Keep notes and next tasks with the relevant company record.
Check the message draft.
Use writing assistance with the company information. Verify the observation and scope of your offer. Preparing a draft can be enough to inspect the workflow in your first trial.
Evaluate Anivo’s connected workflow: do company information, the reason for your decision and message preparation stay together? Use the research to understand what you need to learn in a first conversation.
This workflow does not provide advertising management, shared team CRM or a promise of automatic customer acquisition. Anivo is a Windows workspace. Essential shared-user permissions may require another system. See the packaging and label manufacturer example.
Write a target, review the plan and prepare a draft from your first company record. Evaluate the trial with your own work.
When is another method a better fit?
- If the problem you solve is unclear, start with buyer conversations and a profile document.
- If you only need the last conversation and next date for a few known customers, a spreadsheet may be sufficient.
- If shared records, user roles and live connections to company systems are essential, test a team CRM that meets those conditions.
- If you need consumer advertising, creative production and ad budget management, choose a team or tool that does that work.
- If nobody can own the research and conversations, consider external help with a defined scope.
External help and your own research can work together. Agree who selects firms, approves messages and follows up on replies. Use the lead generation agency guide to assess that decision.
Finish the trial with a decision you can explain.
- Continue
- The essential jobs were completed in the trial. Record remaining checks and who owns routine use. Do not present workflow success as a sales outcome.
- Test again
- A condition is unclear or was not completed. Record the question, explanation needed and next check. Do not turn uncertainty into a positive assessment.
- Choose another method
- An essential platform, sharing or workflow condition is unmet. Record why and return to the suitable category.
No account required. Includes blank fields for your target, essential requirements, evidence, cost questions and decision. A fictional example is included. This is not a product ranking or an Anivo import format.
After choosing software, continue controlled research with the same profile. If company fit is weak, review the target. If records are organised but conversations do not progress, work on the need and offer. Changing tools alone does not explain the problem.
Questions about B2B prospecting software
Clarify these points before buying or moving to regular use.
What is B2B prospecting software?
It is software that helps you research potential businesses and prepare for first contact when selling to other firms. Company discovery, qualification, records and message preparation may be offered with different scopes.
Is prospecting software the same as a CRM?
Not exactly. A CRM manages relationships, records and next steps. Company research focuses on discovering new firms. Some products combine the two. Test each job separately.
What is the best B2B prospecting software?
It depends on your target and essential jobs. Try research, fit checks, records and draft preparation with the same offer and company profile. Assess platform, sharing and fee conditions separately.
Is free prospecting software enough?
A trial allowance or free tool can help you assess the starting workflow. Read unlocking, messaging and record limits separately. Manual research and a spreadsheet may also be enough for a few known firms.
Does AI prospecting automatically acquire customers?
No. AI can help with research and message preparation. Conversations establish actual needs, priorities and buying decisions. A company list or high score does not guarantee sales.
How many companies should I review in a trial?
Choose a group whose important information you can check. The five-company suggestion limits the work in this example. It is not claimed to be a sufficient sample for measuring accuracy or market success.
Does finding an email address give permission to contact it?
No. Assess discovering information separately from the conditions for using it and sending commercial messages. Check applicable conditions before sending. The customer acquisition guide includes official sources for its regional guidance.
Who might Anivo suit?
It may suit Windows users running their own B2B research and conversations. Test it with your offer if you want to connect research planning, company assessment, CRM notes and message preparation.
Does Anivo provide a shared team CRM?
Every plan is for one user and one local workspace. If shared company records, user roles and team approvals are essential, evaluate another system that meets those needs.
Is the Anivo trial unlimited?
No. The welcome gift is 1,000 credits and seven days of full access, once per device. Features are open, but actions use credits. No credit card is required to start.
