Introduce yourself, explain why you are writing to this business and name the work you offer. Start with one verified fact. Ask one question the recipient can answer without assuming they need your service. Before sending a template, check the company information, recipient and applicable contact requirements.
A first sales email needs a real reason to start.
This guide covers the first sales conversation with a business. Newsletters, job applications and existing order updates serve different purposes. Check what the recipient has already discussed with you before choosing an opening.

If the target is unclear, define your ideal customer profile first. Editing the email cannot make an unsuitable company fit your offer.
Separate the fact from the possible need.

Remove a claim you cannot check, or turn the unknown into a question. This note does not support saying their labels are wrong. Do not imply access to their internal process.
Keep the introduction short and the question specific.
Identify yourself.
Give your name, company and the work you offer. Make it clear who is contacting the recipient.
Explain the reason.
Use one checked company fact. Avoid unrelated praise and a generic paragraph about their industry.
Limit the offer.
Describe work you can deliver. Remove unverified savings, deadlines and promised results.
Ask one question.
Learn about the existing process or requested information. Avoid asking for a catalogue review, quote, call and meeting together.
A short message still needs sender details. Complete the contact information, required commercial disclosures and an easy opt-out method. The examples below are message bodies.
Adapt the email to the recipient’s actual work.

First email draft
Hello [Name], I’m [Your name] from [Company]. Your jar range page lists several sizes. We manufacture labels and provide pre-print dimension checks. For a new jar size, does your team approve the label dimensions or does your current supplier handle that?
This question does not suggest their supplier is failing. Check the sizes, role and contact requirements before considering the draft.

First email draft
Hello [Name], I’m [Your name] from [Company]. At [Event], you asked what we need to review transport options for your Germany shipments. We can assess options using the origin, destination, cargo dimensions and cargo-ready date. Could you share those details for an initial review?
The event and request must be real. Do not guarantee capacity, customs services, delivery or price before checking. Answer the information request.

First email draft
Hello [Name], I’m [Your name] from [Company]. Your company announcement mentions a new branch. We provide device setup and IT checks before a business opens a location. Is your own team handling those preparations, or are you working with an external provider?
A branch announcement does not prove buying intent. Do not invent an opening date, infrastructure problem or security weakness.
These are fictional teaching examples. They are not sent messages, customer references or successful sales cases. Remove any service you do not actually provide.
Replace vague praise and unsupported promises.

This edit is a writing method, not a proven response-rate improvement. Apply the same review to an AI draft. Remove facts, customer names and results that the evidence does not support.
Relevant research does not establish permission to send.
Check the recipient’s market and status before using business contact data. The US FTC’s CAN-SPAM guide covers commercial identification, accurate headers and subjects, a valid postal address and opt-out handling. UK ICO guidance distinguishes corporate subscribers from sole traders and some partnerships; personal-data obligations can also apply.
- Confirm the applicable contact and personal-data requirements. A public address is not universal marketing permission.
- Identify the sender and complete required disclosures. Provide an easy opt-out and act on objections.
- Check the current address and role. Review any attachment or link; do not add unnecessary documents.
- Follow your email provider’s authentication and sending rules. Good wording does not guarantee inbox delivery.
For recipients in Turkey, review the Ministry of Trade and KVKK sources below. Public availability does not make every use of personal data lawful. One country’s B2B exception is not a global sending rule.

How do I write a first sales email?
Introduce yourself, explain the reason using checked company information and name your actual service. Ask one question. Review the recipient, contact requirements and required sender details before sending.
Is an introduction email the same as a sales email?
An introduction may announce a product or describe a company broadly. This sales email starts a specific business conversation about a defined job. Avoid copying a newsletter template unchanged.
What should the subject line say?
Name the actual topic: a product, job or real previous conversation. Do not use Re: for a new thread or invent urgency and quote requests.
Should I include pricing and a catalogue?
Share relevant information when requested and the scope is clear. For an unsolicited introduction, a question about the suitable product or job may be more appropriate than a broad catalogue. Do not finalize price without its conditions.
How many words should a first sales email contain?
This guide does not prescribe a universal word count. Make your identity, reason, actual offer and question clear. Remove unnecessary introductions while preserving required disclosures and the opt-out method.
Can I email any public business address?
Public visibility alone does not establish marketing permission or a lawful basis to use personal data. Review the recipient type, purpose and applicable law. A named work address still needs that review.
