GUIDE · FIRST SALES EMAIL Introduce yourself, explain why you are writing to this business and name the work you offer. Start with one verified fact. Ask one question the recipient can answer without assuming they need your service. Before sending a template, check the company information, recipient and applicable contact requirements. BLANK WORKING RECORD Company: [ ] Our actual service and limits: [ ] Source URL: [ ] Review date: [ ] Observed fact: [ ] Interpretation (not a confirmed need): [ ] Unknown: [ ] Recipient and current role: [ ] Reason for contact: [ ] Contact requirements and objection check: [ ] One question: [ ] Unsupported claims removed: [ ] YOUR DRAFT Subject: [Actual topic] Message: [Identity, checked information, service, one question] Sender details: [Name, company, contact information, applicable commercial disclosures and postal address] Opt-out: [Easy method; act on requests] Complete the details required for the recipient’s country and status. Example bodies alone are not complete send-ready emails. Adapt the email to the recipient’s actual work. FICTIONAL EXAMPLE · LABEL MANUFACTURER Subject: Label dimensions for your jar range · Assumptions: The sizes were checked on the current product page. The seller provides pre-print checks. Hello [Name], I’m [Your name] from [Company]. Your jar range page lists several sizes. We manufacture labels and provide pre-print dimension checks. For a new jar size, does your team approve the label dimensions or does your current supplier handle that? This question does not suggest their supplier is failing. Check the sizes, role and contact requirements before considering the draft. FICTIONAL EXAMPLE · FREIGHT FORWARDER Subject: Details for your Germany shipment enquiry · Assumptions: The recipient asked at an event what information a quote needs. The seller serves this route. Hello [Name], I’m [Your name] from [Company]. At [Event], you asked what we need to review transport options for your Germany shipments. We can assess options using the origin, destination, cargo dimensions and cargo-ready date. Could you share those details for an initial review? The event and request must be real. Do not guarantee capacity, customs services, delivery or price before checking. Answer the information request. FICTIONAL EXAMPLE · IT SERVICE PROVIDER Subject: IT preparation for your new branch · Assumptions: The branch announcement was verified. The seller provides setup support. Hello [Name], I’m [Your name] from [Company]. Your company announcement mentions a new branch. We provide device setup and IT checks before a business opens a location. Is your own team handling those preparations, or are you working with an external provider? A branch announcement does not prove buying intent. Do not invent an opening date, infrastructure problem or security weakness. Sources and scope Official sources checked on 5 October 2026. The writing method and fictional drafts are practical suggestions from the Anivo team, not response-rate research or a legal compliance certification.
